Are you getting ready to start a project and

  • 00:01

want to know how to run a successful kickoff meeting?

  • 00:04

Well, in this video, I'm going to share with you five critical elements that you need in

  • 00:08

order to run a successful kickoff.

  • 00:11

And if you want to slay your project, stay tuned to the end because I'm going to give

  • 00:14

you a checklist on how to ensure your projects don't fail.

  • 00:17

    Hi.

If you're new here, welcome, for the best career and project management advice, subscribe to

  • 00:22

my channel, hit that bell button and a brand new video is going to come to you every Wednesday.

  • 00:27

When done right, kickoff meetings can be inspiring and fun, and they are critical because they're

  • 00:32

    going to set the tone.

  • 00:33

So let me show you how to do that.

  • 00:34

Before I go into the five key elements that you need, there are two critical items

  • 00:40

that you really have to think about,

  • 00:41

and we have to talk about right now, and that's

  • 00:43

    timing, and purpose.

  • 00:44

A lot of times with timing is, people do a kickoff meeting

  • 00:47

as soon as they get their project.

  • 00:49

Don't, don't, don't, don't, you have so much to do in preparation of that.

  • 00:54

If you were to throw your kickoff meeting, now, when you just got information, then people

  • 00:58

would be excited and then you would have nothing to give to them, and they'd walk away,

  • 01:02

and then how do you reinvent that excitement?

  • 01:04

So the timing is really important.

  • 01:07

You need to do it once you get all your information.

  • 01:09

So once I give you those five steps, then you're going to do your kickoff meeting.

  • 01:12

Now the purpose here is something else that people also have trouble with is, the purpose

  • 01:17

of your kickoff is to ensure that your team is set up for success

  • 01:21

if they have everything they need at their fingertips,

  • 01:23

and a lot of times with kickoff meetings,

  • 01:26

they don't because you do it too early.

  • 01:28

That's why the timing and purpose are so critical,

  • 01:31

and when you think about purpose, and because you're giving everything to your team, the

  • 01:35

length of the meeting is really important.

  • 01:38

An hour meeting is not going to do it for a kickoff.

  • 01:40

You have way too much to do.

  • 01:41

And when I go through those five steps, you'll know why there's way too much to do.

  • 01:44

You need at least minimum half a day.

  • 01:46

And depending on what you actually need to accomplish, sometimes it can be up to a full

  • 01:50

day or even a day and a half.

  • 01:52

Now don't get overwhelmed because I'm gonna show you how to do everything next.

  • 01:56

    Okay?

  • 01:57

Now that you understand how important purpose and timing is, and the length of your meeting,

  • 02:01

let's now talk about the elements, the five critical elements you need in your actual

  • 02:05

    kick-off.

  • 02:06

Think of them also as activities.

  • 02:08

So activity number one, charter introduction, all right, this is going to be important.

  • 02:13

This is setting up your project.

  • 02:15

You would have done all your prep work.

  • 02:16

    This is your charter document.

  • 02:17

This is basically, the team is now going to know for the first time, why they're being called,

  • 02:22

what's the purpose, what's the scope

  • 02:24

what are some high level milestones, all the critical elements that they need so that if

  • 02:28

they were to start working on the project tomorrow, they could, because they have the information.

  • 02:32

So introducing your charter is critical, and this is the time to do it because you want

  • 02:37

to have them ask questions and to be able to answer them, also to get any other additional

  • 02:41

information that maybe you just didn't have,

  • 02:43

and you need from your subject matter experts, who are now your team members.

  • 02:47

activity number two, project team expectations.

  • 02:50

A lot of times people don't think to even

  • 02:53

go here, or are you going to ask this question?

  • 02:55

What do you expect as a project manager or as a project leader from your project team

  • 02:59

members, and then I do a reverse, what do they expect from me?

  • 03:02

If you're at a kickoff, and you're now introducing everything, it's the perfect time to ask this

  • 03:07

    question.

  • 03:08

You may have had some past experiences on other projects that did not work well, and

  • 03:11

you don't want to have them repeat those same mistakes.

  • 03:14

So this is a great time to really set it out very clearly.

  • 03:17

What are the five, eight, maybe even 10 things that as a project team, you have expectations

  • 03:22

from each other, so that you can actually call people when they actually don't do what they're

  • 03:27

supposed to do, and you all agreed to it.

  • 03:30

Perfect time to do it. Nobody's charged.

  • 03:32

    Everyone's excited about the project.

  • 03:34

Neutrality is there, and you're going to get the right things, identified.

  • 03:37

activity three action, plan, validation and finalization.

  • 03:44

So you want to use your kickoff meeting.

  • 03:46

You want to be, you want to get everything that you need, because you have everybody together.

  • 03:49

Remember, this is not an hour meeting.

  • 03:51

This could be a half day meeting, a full day meeting.

  • 03:53

It's kind of like a workshop,

  • 03:55

and if you don't want to call it a workshop, call it a session, because it's definitely

  • 03:58

not a meeting where you're just talking

  • 04:00

you're actually getting some stuff. So, you've done the charter,

  • 04:03

you've done your expectations, now because you've done all the prep work prior to, you

  • 04:07

probably have some high level ideas as to what the project has to execute on,

  • 04:12

and this is where you want to give it to your project

  • 04:14

team members, have a little workshop around

  • 04:17

it, have an activity on, let's finalize all the tasks.

  • 04:20

What's really great about this is, it brings accountability, because the subject matter

  • 04:24

experts are now saying, here's what I have to do in order to achieve this scope statement,

  • 04:27

    and reach this deliverable.

  • 04:29

They're now thinking it through not only that, because when you call a kickoff, you want

  • 04:33

people to be working on things really, ideally, the very next day.

  • 04:36

Well, they've just now confirmed action items,

  • 04:39

so they can actually do something the very next day,

  • 04:42

cause they called it out themselves.

  • 04:43

All you gotta do is clean it up, and put it in a central location.

  • 04:46

So this is a wonderful activity, and a must in my books, not only do the charter, but

  • 04:51

get your action item plan validated from the initial look that you did, to the finalization,

  • 04:57

with the team. Activity four, project timeline finalization.

  • 05:02

Now, I'm going to give you a little disclaimer here,

  • 05:06

    sometimes you get to this,

  • 05:07

sometimes you don't, it really is dependent upon how much time you have,

  • 05:10

but if you really do have the time, after you're done all of the activities that you've done

  • 05:15

with the action items, you wanted them validate the timeline, to ensure that all your different

  • 05:20

groups, and dependence, they're not overlapping, are they feeding into each other properly,

  • 05:25

and you can easily do this in a workshop type setting.

  • 05:29

So if you can get to this activity, it is great to do it here at your kickoff,

  • 05:33

however, I'm going to give you a caveat.

  • 05:35

It's usually 50/50 for me, in regards to me being able to actually do this activity depends

  • 05:40

on how much time I'm given,

  • 05:42

but the beautiful thing is, people usually say to me, let's have another meeting and

  • 05:45

actually do that workshop of getting our timeline. last activity, project team, next steps.

  • 05:53

    So wherever you're ending off,

  • 05:55

so if you have the ability to do all five elements, and you were able to get in the timeline,

  • 05:59

then you would definitely go next steps,

  • 06:01

and let's say, you don't get to the timeline.

  • 06:03

You still have to talk about next steps.

  • 06:05

So you have to ensure next steps is always in your kickoff meeting.

  • 06:09

Now, what are those next steps?

  • 06:10

Those next steps are now that you have this information, whatever parking lot items you

  • 06:14

collected from questions, you as a team have to discuss, what's going to happen tomorrow.

  • 06:19

When are we going to have our meetings?

  • 06:20

Where are we going to store everything?

  • 06:22

Uh, are we going to have that timeline meeting?

  • 06:24

Cause we didn't get around to it.

  • 06:26

So as a group, decide what your next steps are.

  • 06:28

Talk about the logistics, where you're going to house things, and how you're going to base

  • 06:32

the frequency of this team, getting together. Now that you know how to run an effective
